FutureFund Connect Support
FutureFund Connect is an online platform for state, district, council, and unit PTAs to manage compliance, governance, memberships, and communications. It provides tools to:
- Submit and track required documents such as financial reports, tax filings, and insurance forms to ensure regulatory compliance
- Generate bylaws and maintain board rosters to support structured leadership and governance
- Facilitate communications across the selected context—whether that's your state PTA, district, council, or unit—to enable announcements, file sharing, and email outreach
- Maintain membership lists
By encapsulating these functions within clearly defined “contexts” (e.g., California PTA at the state level; Pleasanton Council; Walnut Grove Elementary PTA), FutureFund Connect ensures your actions, documents, and communications are always tied to the appropriate organizational layer.
In FutureFund Connect, a context is the entity you are currently viewing or working within. The application is structured around four levels of PTA organizations:
- State - e.g., California PTA
- District - e.g., Peralta District PTA
- Council - e.g., Pleasanton Council PTA
- Unit - e.g., Walnut Grove Elementary PTA
When you select an entity, that becomes your context. All menus, actions, and data shown will apply specifically to that context. For example, if you're viewing Walnut Grove Elementary, any documents, board members, or communications you see or manage will be specific to that unit. This helps keep information organized and ensures that you're always working at the right level within your PTA structure.
Yes! In FutureFund Connect, a member is someone who has purchased a PTA membership. Units can manage their member lists in several ways: by adding members individually, uploading a file, or integrating through our REST API. This allows units to track their membership rosters accurately and keep records up to date across systems.
Yes. PTA units can manage and store their membership records directly in FutureFund Connect.
There are three ways to add membership records:
- Manually - Enter each member individually using our web forms.
- CSV Import - Upload a spreadsheet of members using our CSV import tool.
- API Access - Use our API to create membership records programmatically.
In FutureFund Connect, data is organized into periods referred to as a "term," "fiscal year," or "school year"—depending on the context. While they may have different names, they all represent the same concept: a year range. For example, a term might be defined as 2025-2026.
Objects such as board members, documents, and memberships are all associated with a specific year range. The label (term, fiscal year, or school year) is determined by how the data is used, but structurally, they are treated the same in the system.
In FutureFund Connect, a trigger is an automated rule that runs on a recurring schedule—monthly, quarterly, or annually. Triggers are responsible for generating tasks that help units, councils, and districts stay on track with important deadlines and responsibilities.
A task is a unit of work that needs to be completed. Tasks are typically assigned to PTA units, but can also be directed to councils or districts. Each task includes a title, description, due date, status, and assignment information. Tasks can also include comments and file attachments to provide updates or share documents. For example, a task might remind a unit to generate its bylaws and include a link to start that process.
A workflow is a guided set of steps that helps users complete a task. When a task is linked to a workflow, it means the user will be walked through each step needed to complete the work—such as filling out a form or uploading a document. Workflows ensure consistency and reduce confusion by clearly outlining what needs to be done and in what order.
FutureFund Connect includes several predefined workflows to support common PTA processes:
- Requesting a document
- Generating bylaws
- Submitting a list of board members
- Uploading or entering membership lists
Additional workflows will be added in the future.
Messaging in FutureFund Connect is how users are notified when a task has been assigned to them or when there are updates to tasks they are responsible for. Notifications are sent via email, and users can also view their messages directly within the application. Messages can be marked as read once the user has seen them, helping them keep track of what's new and what's been addressed.
A file generator in FutureFund Connect is linked to a workflow that creates a document by guiding the user through a set of questions. These generators can automatically pull information from existing unit, council, or district records and use that data to populate the document. They can also transform input into multiple formats. For example, entering 15.00 can be formatted as:
- $15.00
- fifteen
- fifteen dollars and zero cents
FutureFund Connect supports task routing and approvals across different PTA levels—unit, council, district, and state. For example, a unit may generate bylaws through a workflow and file generator, which results in a document requiring approval. That task can be routed to one or more reviewers at any level of the PTA hierarchy.
Tasks can be assigned to specific roles, and anyone holding that role at the appropriate level will receive the task. You can also assign multiple reviewers within the same organization. For instance, two individuals at the state level can both be required to approve the bylaws.
If any assigned reviewer selects "Reject," the task is automatically returned to the originator—typically the unit—for further action or correction. This routing system ensures accountability while maintaining flexibility for multi-level collaboration.
Roles in FutureFund Connect represent defined responsibilities within each PTA level. Tasks and approvals can be assigned to roles rather than specific individuals. Any user assigned to that role at the relevant entity (e.g., a district treasurer or unit president) will receive the task. This makes assignment and accountability more flexible and scalable.
FutureFund uses a permission system with two types of access: explicit and implicit.
- Explicit permissions are granted directly to a specific entity—such as a state, district, council, or unit. Users can have access to more than one entity at a time.
- Implicit permissions are inherited based on the hierarchy of entities. If a user has permission at a higher level, they automatically gain access to all entities beneath it:
- A council-level user can access that council and all its units.
- A district-level user can access the district, all councils within it, and their units.
- A state-level user can access everything in the system.
This system ensures users see only what they need while allowing broader access where appropriate.
Yes. State administrators have the ability to email predefined groups directly through FutureFund Connect.
State admins can email the following groups:
- All district administrators
- All council administrators
- All unit administrators
- All unit board members
- All PTA members
- All administrators (includes district, council, and unit admins)
