A board year, from the positions you define to the file you export

Every level keeps its own roster. Your office sees all of them.
  1. You define the positions, once

    President, Treasurer, Secretary, Teacher Representative and the rest, in the order you want them shown. For each one: is it required, how many terms may one person hold it, and should Connect warn if the same person holds it alongside another.

  2. April: the new term is created

    Terms are fiscal years, July 1 to June 30, and Connect creates the next one each April. Every unit, council and district gets an empty roster for it, against the same positions.

  3. June: the Board Members task goes out

    A trigger you set creates a task for every unit on the date you choose, asking it to confirm or update its roster for the coming year. The person responsible at the unit gets an email.

  4. The unit copies last year forward

    Most of the board is the same people. The unit copies last term's roster into the new term and edits what changed: the new treasurer, the parent who moved away, the position that is still open.

  5. Connect flags what is wrong

    A required position with nobody in it. One person holding two positions. A president starting a third term where your limit is two. Each one is a warning on the roster, before anyone at your office looks.

  6. September: you message every treasurer

    The roster is what Messaging sends to. A recipient group is a filter over positions and levels, so an email to every unit treasurer in the state goes to whoever holds that position this term.

  7. January: the council needs its contact list

    The Contact report lists officers by position for every unit under a council or district, and the directory's Board Members tab sorts and exports the same. Nobody builds the list by hand.

  8. Spring: the state exports the whole board

    Every board member in the state, filtered by term and position, in one file. The Compliance report's Board Health column reads the same rosters, so the office knows which units still have a gap.

A thousand boards, each one new this year

The state office cannot chase every roster by hand. Connect makes each unit keep its own, against your rules.
The officer list is always last year's

Boards turn over every June. The spreadsheet your office keeps was right in September and has been quietly wrong since, and the treasurer you emailed left in the spring.

Nobody knows who is the treasurer at Clover Hill

Somebody at the council knows. It is in an email, or on a form that was mailed in, or in the president's phone. It is not somewhere your office can look it up.

The gap you find in March

A unit has had no treasurer on record since July. Nobody noticed, because nothing was checking, and the financial report that unit owes is now past due.
