Every unit elects a president, a secretary and a treasurer, and by the time the state office has their names, half of them have changed. The roster you are writing to in October was true in July.

July: the new boards go on record
The Board Members task lands on every unit on the date you set. Each one copies last year's roster forward, changes the seats that changed, and submits. The state has every president, secretary and treasurer in the state before the first meeting.
August: you write to every new treasurer at once
One recipient group, every unit treasurer in the state, whoever holds the seat this year. Attach the guide, schedule the send for Monday morning, and watch who opened it and whose address bounced.
September to November: the filings come in
The annual financial report, the 990, the Form 199, the RRF-1, the insurance certificate. Each is a task on the unit that owes it, submitted with the file, and routed council to district to state. Every approver sees it, approves it or sends it back with a note.
Every Tuesday: the IRS says who is at risk
Connect imports the IRS exempt-organization data and marks every organization current, past due or at risk, with its last filing date. The California registry status arrives weekly the same way. A unit about to lose its exemption shows up in your report before its officers know.
On the anniversary: bylaws come up for review
Every few years after the last approval, as you set it, the bylaws task is created on its own. The unit answers the questionnaire with last time's answers already filled in, Connect generates the PDF from your template, and it routes up for approval.
Every month: dues are paid out to every level
Memberships sold on FutureFund arrive in each unit's list nightly. The per-capita dues withheld at the sale are apportioned to national, state, district, council and unit, and each level receives its share by direct deposit on the monthly run.
Every Monday: the past-due digest goes out for you
At 8am Pacific, everyone holding a past-due task gets one email listing all of them. Your office opens the Past Due Tasks report instead of a mail merge.
Spring: the compliance report, then the next term
Before convention, one report says which units have their officers on file, a healthy board, last year's financial report and current bylaws, filtered by district and council. In April the new term is created on its own, and July starts again.
