July: the new term opens
Connect created the 2026–27 term in April. On July 1 every unit's membership list for the new year is empty, and last year's is kept exactly as it ended.
A unit sells memberships on FutureFund
Meadowlark sells its memberships online through FutureFund. Connect matches the unit by its EIN, and each night the new members arrive in its Connect list, marked as coming from FutureFund.
The membership chair adds the paper ones
The families who paid cash at Back to School Night are entered by hand: name, email, phone, the date they joined and the year they first became a member. The list is one list, whichever way somebody joined.
The dues are withheld at the sale
For every membership sold on FutureFund, the per-capita dues are held back at the moment of the sale and apportioned: this much to National, this much to the state, the district, the council and the unit.
Each level connects a bank account, once
The council treasurer links the council's bank account through Stripe. So does the district, so does the state. It is done one time, not every month.
The monthly run pays everyone
Once a month, each level receives its share by direct deposit. The payouts page shows what is owed, what has been paid and the history behind it. A level that needs its withheld dues sooner can request them early.
The council sees counts by unit
Counts by unit for the term, membership detail, and which memberships came from FutureFund and which were added by hand. The district and the state see the same reports for everything under them.
June: this year against last
Counts per term are kept, so when the state asks whether membership grew, the answer is a report of this term beside the last one, unit by unit. Nobody re-enters a number.
A state PTA's biggest number is the one it knows least about
Every unit reports its membership total on paper, once a year, from whatever it was keeping. By the time the state adds them up, the number is months old and nobody can check it.
The unit writes a check to the council. The council writes one to the district. The district writes one to the state. Each one is a treasurer's Saturday, and each one can be late, short, or lost.
The unit's spreadsheet says 212 members. The state's records say 180. Both were right on the day they were written down, and neither one is right today.
