You define the document types
Annual Financial Report, IRS Form 990, Certificate of Insurance, Minutes, Budget, Bylaws. A state defines its own list. A school district defines a different one for its booster clubs.
A new term opens in July
Terms run July 1 to June 30 and are created each April. Most document types are filed per term. Bylaws and standing rules are not tied to a year.
The task asks for it
A task created on the schedule asks the unit for a document of a given type. A unit can also upload a document on its own, any time, without being asked.
The treasurer uploads it in September
One document can carry several files. PDFs are flattened so they look the same to everyone who opens them. The status reads uploaded.
The council reviews it
A document that arrives through a task goes to the approver. In review, then approved and stamped with the date, or rejected with a comment and back to the unit.
Some documents file themselves
A budget approved in BeeKeeper, FutureFund's accounting product, arrives in Connect as an approved budget. In the PTA Edition, the bylaws generator files the bylaws PDF as a document.
The state sees every one of them
The council, the district and the state see every document under them. The directory's Documents tab filters by district, council, term and document type, and exports to Excel.
You run the Missing Document report
Pick a document type and a term. The report lists every organization that has not filed it. That is your call list, and you did not build it.
A thousand units, each with a folder somewhere
Each district keeps its own, named its own way. The state office asks for a 990 and waits for someone to go looking.
The answer needs a list of everyone who should have, checked against everything that arrived. Nobody has the time to make it twice.
